A useful quality record traces checks from incoming materials through production and final release. Incoming checks can verify metal or component identification, supplier documents, dimensions, and visible condition against the purchase specification. During production, first-piece approval and in-process checks can catch problems such as inconsistent dimensions, weak joins, misaligned settings, or finish variation before they affect a full batch. Final inspection should cover agreed appearance, measurements, function, quantity, and packaging. Ask for dated inspection records linked to the order or lot, including the inspection method, sample size, results, and disposition of rejected pieces. The exact checkpoints depend on product complexity and risk; a generic inspection checklist is not proof that a particular order was checked.

First define what the grade means for the specific stone. Diamond grading commonly refers to the 4Cs—carat weight, color, clarity, and cut—but colored gemstones do not have one universally applied grading scale across the industry. Specify stone type, treatment disclosure, permitted color and clarity range, dimensions, matching tolerance, and whether grading applies to each stone or a representative sample. Approve physical reference stones or documented images under stated lighting conditions, then compare production stones against those references. Independent gem laboratory reports can help identify and describe individual stones, but a report for one stone does not establish that every stone in a bulk lot matches it. For calibrated or high-value orders, agree on the sampling plan and escalation process for out-of-spec stones before production.

Start by requiring a material specification that identifies the claimed alloy, fineness or composition, substrate, and coating system. X-ray fluorescence (XRF) can provide rapid elemental screening, but its result depends on the instrument, calibration, geometry, and whether a coating affects the reading; it should not automatically be treated as conclusive proof of a thin coating’s thickness or uniformity. Coating-thickness methods such as X-ray spectrometry are covered by ISO 3497, but the test setup must suit the layer and product. Where results are disputed, a qualified laboratory may recommend a more suitable method, including destructive analysis. For precious-metal fineness, use a recognized method appropriate to the metal and jurisdiction. Specify the test location, method, acceptance range, sampling, and treatment of plated surfaces in advance.

Define defects in the product specification rather than relying on an undefined phrase such as “commercial quality.” Classify issues by consequence—for example, safety or function, material or compliance, structural workmanship, and cosmetic appearance—and give measurable criteria where possible. A drawing can set dimensional tolerances; approved samples and photographs can clarify finish and appearance; functional checks can cover closures, hinges, or moving parts. ISO 2859-1 provides sampling schemes indexed by acceptance quality limit (AQL), but an AQL is a sampling-plan parameter, not a promise that a batch contains that exact percentage of defects or a substitute for defining defects. The purchase order should state the lot definition, inspection level, sample plan, acceptance and rejection numbers, and how failed lots are reworked, replaced, or independently reviewed.

Requirements depend on the destination, intended wearer, product construction, and claims made in advertising. In the EU, REACH restrictions address substances including nickel, cadmium, and lead in relevant jewelry articles; nickel release is particularly relevant to items intended for direct and prolonged skin contact and to piercing posts. EN 1811 is a reference method for nickel release testing, and coated articles may require simulated wear and corrosion treatment, for which EN 12472 is relevant. In the United States, children’s products can trigger additional lead and other requirements under applicable federal rules, while FTC Jewelry Guides concern truthful descriptions and claims about precious-metal content. These examples are not a complete compliance checklist. Identify every sales market and product category, then have a qualified compliance specialist or laboratory confirm applicable rules, test methods, limits, and documentation.

A pre-shipment inspection can identify nonconforming goods before they leave the factory, but it works only when the acceptance criteria and sampling plan were agreed before inspection. Use a signed specification and approved sample as references, define the production lot, and inspect the risks that matter for the item: identity and quantity, dimensions, finish, stone matching, closures or other functions, labeling, and packaging. Record the sample selection, findings, photographs, and any corrective action. Sampling cannot establish that every piece is defect-free, and an inspection report does not replace legal compliance evidence or supplier process controls. For high-risk features, consider tighter sampling or specified tests rather than relying on a general visual check. Clarify who has authority to release the order and how a failed inspection is resolved.
